Detailed Overview

Under the general supervision of the Manager - Plant Services, provides secretarial, reception and administrative support to Plant Services.

Responsibilities

  1. Performs secretarial duties such as drafting and typing routine correspondence, memos and reports, prioritizing requests and scheduling appointments and meetings in response to requirements, prepares agendas for meetings and following up on action items as required. 
  2. Coordinates the workflow for Plant Services; develops and implements new work methods and procedures; identifies problems; develops alternative solutions and implements changes.
  3. Performs word processing and data entry such as inputting relevant information, maintaining relevant records such as utilities and Key management and Preventative maintenance system databases, updating manuals and preparing reports, charts, tables, presentation materials and letters using a variety of office software applications and programs.
  4. Performs reception duties such as greeting visitors, answering incoming telephone calls, responding to routine enquiries, taking messages and referring as appropriate. Operates the radio communicating system and pages Tradesmen in emergency/urgent situations.
  5. Screens, prioritizes and distributes incoming mail and work requests; responds to enquiries as appropriate by drafting a routine response for Manager signature.
  6. Compiles, summarizes and maintains divisional records, files and statistical databases related to maintenance activities; produces computer software related reports.
  7. Assists in the preparation of estimates for maintenance projects by calculating and distributing actual and estimated labour rates to staff, utilizing data from head tradesmen to prepare estimates.
  8. Arranges room bookings, catering and audio/visual equipment as required. Completes computerized payroll for the Manager's review.
  9. Monitors and maintains office stationery and supplies levels; prepares stores and purchase orders as required.
  10. Performs other related duties as assigned.

Qualifications

Education and Experience

Grade 12, graduation from a recognized secretarial program and three years' recent related experience or an equivalent combination of education, training and experience.

Skills and Abilities

  • Ability to keyboard 60 w.p.m.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to organize work.
  • Physical ability to perform the duties of the position.
  • Ability to deal effectively with others.
  • Ability to operate related equipment.
